These terms and conditions are a complete set of rules for our services so that everyone, including our valued customers, knows what to expect. We kindly ask our customers to read these terms and conditions carefully before booking or using our services. Your trust and happiness are essential to us, and by making a payment you are confirming your acceptance of these terms and conditions. If any of the conditions outlined below fail to meet your satisfaction, please do not hesitate to contact us before booking.
These terms and conditions are subject to change without notice. It is the responsibility of the customer to review them regularly.
1. Booking and Deposit Policy
- A deposit of 20% of the total tour cost must be paid at the time of booking to confirm and reserve your helicopter tour. This deposit acts as a sign of your commitment and helps us plan and prepare for your service.
- A clear photocopy of a valid Passport or government-issued photo identification must be presented at the time of booking for every passenger.
- The remaining balance of your helicopter tour must be paid prior to the start of your helicopter tour in Nepal. If you fail to pay the remaining balance before the start of your tour, your booking will be under automatic cancellation.
- All helicopter tour bookings are subject to seat and aircraft availability.
- We recommend making a guaranteed reservation well in advance of your preferred travel date so that we can meet your needs and make the appropriate plans. Medical rescue flights will be given priority over regular bookings.
2. Payment Methods
- Accepted payment methods include Bank Transfer, Credit Card, Debit Card, and other secure online payment methods.
- All payments must be made in Nepalese Rupees (NPR) or in other currencies if Go Heli Services approves the payment method being used.
- Additional charges or transaction fees applied by banks or online payment platforms are not included in the tour cost and must be borne by the customer.
3. Reservation and Confirmation
- Reservations will be accepted until 15 days before your planned helicopter trip. Last-minute reservations may be accepted subject to seat availability.
- Go Heli Services can deny last-minute reservations if we cannot handle the request due to lack of space, weather, or operational reasons.
- Once a booking is confirmed, the customer will receive confirmation with flight details, reporting time, and pre-flight briefing information.
4. Cancellation and Refunds - Customer Cancellations
- Cancellation must be made in writing via email or physical letter only.
- The trip will be considered officially cancelled only when Go Heli Services has received the cancellation notice from the customer.
- If the customer cancels, the 20% down payment will not be refunded and will be retained as administrative and planning fees.
- In the case of postponement of the trip due to the personal reasons of the customer, the amount of the trip will not be refunded. In such cases, the booking may be kept valid for up to 1 to 3 years depending on the circumstances, subject to company approval.
5. Cancellation and Refunds - Company Cancellations
- Go Heli Services reserves the right to cancel or reschedule any tour for any reason, including but not limited to weather conditions, safety concerns, air traffic control decisions, technical issues, or operational circumstances.
- In the event the company cancels a tour, the customer will receive a full refund of the amount paid or will have the option to reschedule the tour to a later date.
- In the case of tour cancellations caused by emergencies, Go Heli Services will provide alternative dates and activities where possible.
6. Flight Delays Due to Weather or Other Conditions
- The weather in mountainous regions of Nepal is unpredictable and can change in a minute from good to bad and vice versa. Your safety is our utmost priority.
- We reserve the right to delay, divert, or reschedule flights in terms of weather and safety conditions.
- If a flight is delayed due to weather or other conditions, Go Heli Services will provide further information about how to obtain a refund or reschedule.
- Customers are advised that Go Heli Services is not liable for any extra costs (such as accommodation, meals, or transport) incurred because of flight delays.
- Go Heli Services reserves the right to change or postpone flights in the case of force majeure (including but not limited to weather, natural disasters, political unrest, government restrictions, air traffic control decisions, or any other circumstances beyond our reasonable control), with no liability to the customer.
7. Flight Operations and Visual Flight Rules
- All helicopter operations in Nepal are conducted under Visual Flight Rules (VFR) and are subject to clearance and approval from the Civil Aviation Authority of Nepal (CAAN).
- Instrument or night flights are not conducted.
- Weather checks are carried out before every flight, and morning departures are preferred for Himalayan routes because of calmer winds and better visibility.
- Passengers are advised to keep flexible travel dates and allow buffer days in their itinerary for potential weather-related delays or rescheduling.
8. Rescheduling Policy
- Customers may request to reschedule their flight to an alternative date, subject to seat and aircraft availability.
- Rescheduling requests made at least 7 days before the scheduled departure date are generally accepted free of charge. Requests made closer to departure may be treated as a cancellation and re-booking, and may incur additional charges.
- Rescheduling due to weather or operational reasons on our side will always be offered free of charge.
9. Weight and Baggage Restrictions
- Due to the operational limitations of helicopters, especially at high altitudes, strict weight limits apply to passengers and baggage.
- Passengers may be required to provide their accurate body weight at the time of booking and to undergo a weight check before the helicopter tour. This is necessary to ensure the helicopter's weight limits and balance requirements are not exceeded.
- Each passenger is limited to a certain weight for luggage purposes, typically between 5 to 15 kg depending on the route, altitude, and aircraft type. Excess baggage will either be refused or charged for.
- Go Heli Services will not accept responsibility for any lost, damaged, or stolen items carried by passengers while on tour.
- Soft bags are preferred over hard suitcases for storage and safety.
10. Travel Coverage and Insurance
- All helicopter trip visitors must have valid travel coverage.
- If you already have travel protection, your travel coverage will be included in your complete trip planning.
- Go Heli Services will not cover any medical costs or personal injury sustained by our guests while on their trip unless a valid insurance document is provided.
- During the tour, we do not provide insurance policies to our clients. Mountain flights often carry different risks due to unpredictable environmental conditions, and we do not bear those risks, which are unpredictable. The passenger should be aware of their own coverage.
- Passengers are strongly advised to carry comprehensive travel insurance that includes helicopter rescue, high-altitude coverage (up to at least 6,000 meters), and emergency medical evacuation.
11. Health and Fitness
- All passengers must be fit to fly. Passengers must inform Go Heli Services of any medical, physical impairment, pregnancy, or other conditions when making a booking.
- This level of openness will help us ensure that every passenger is safe and relaxed.
- Children under a certain age or passengers with medical conditions may require special approval.
- If you have special medical conditions, consult your doctor about traveling to high altitude before taking the tour. Do not consume alcohol the night before the flight, and stay well hydrated.
- Go Heli Services accepts no responsibility for injury or death caused by your failure to follow safety instructions or by your failure to advise the company of your medical conditions.
12. Age Restrictions
- A legal guardian is required to accompany children who are less than 16 years old.
- Specifics like age limitations and the potential appropriateness of the trip will be discussed via email before the reservation is confirmed.
- Before making the reservation, guardians of younger travelers should do a comprehensive evaluation to determine whether or not the trip is appropriate for them.
13. Safety and Responsibility
- The safety and well-being of our guests is our top concern. We follow strict aviation safety regulations, including regular maintenance, licensed and experienced pilots, and all applicable aviation regulations of the Civil Aviation Authority of Nepal (CAAN).
- All passengers must comply with pilot instructions and attend the pre-flight briefing prior to boarding the helicopter.
- Everyone on board must pay close attention and follow our crew's safety instructions, including proper boarding and de-boarding procedures, keeping seatbelts fastened, and remaining seated during the flight.
- Passengers must not carry prohibited items such as inflammable objects, knives, lighters, and other dangerous goods.
- Passengers must not touch any buttons or controls in the cockpit and must not distract or disturb the pilot. Conversations with the pilot are permitted only with the pilot's permission.
- Passengers must wait for the pilot's command before getting on or off the helicopter and must always approach and leave the helicopter from the cockpit area with the head kept low.
- Any failure to follow these safety rules, or carelessness with them, will be taken very seriously, and the service may be cut off immediately. No refunds will be given in these situations, which shows how important safety is to us.
- Go Heli Services reserves the right to deny boarding to any passenger who appears to be under the influence of alcohol or drugs or who displays disruptive or unsafe behavior. In such cases, no refund will be given.
14. Luggage and Property
- Passengers are responsible for their own personal property at all times.
- Go Heli Services will not accept responsibility for any lost, damaged, or stolen items that passengers may have with them while on tour.
15. Pricing and Additional Costs
- While we try to keep our prices stable, the constantly changing nature of the flight business means our prices can change for several reasons, including fuel costs, government taxes, exchange rates, and season.
- Any time the price changes, passengers will always be told before payment.
- Please note that there may be extra costs if you choose to add any extra services, make changes to the deal you originally chose, or change the planned schedule.
- To make things clear, we advise all customers to check all costs at the time of booking. Exact pricing is always confirmed before the booking is finalized. There are no hidden fees.
16. Charter Flights and Customized Trips
- Go Heli Services is happy to make custom requests or changes to our standard routes for clients who want a unique flight experience, including special events, one-of-a-kind locations, or custom flight plans.
- Special plans such as these depend on supply and may cost extra. Our team will work closely with you to create a custom experience and make sure you understand all the costs that come with it.
17. Promotions and Offers
- Periodically, we launch promotions and exclusive deals to provide our customers with more value and distinctive experiences.
- Promotional activities necessitate adherence to specific terms and conditions, and it is the customer's responsibility to be aware of and understand those conditions when engaging with such offers.
- In light of the dynamic nature of the aviation and tourism sectors, specific promotional activities may undergo modifications or be terminated without advance notice.
- It is recommended that clients follow our official communication channels, including our website, Facebook, Instagram, and YouTube, to remain informed and up to date.
18. Permits and Documentation
- Where required by law, permits for national parks, conservation areas, and restricted areas (such as Sagarmatha National Park, Annapurna Conservation Area, or local municipality permits) will be arranged by Go Heli Services on behalf of the passenger and included in the trip where applicable.
- Passengers must provide all necessary documentation, including a valid passport and visa for Nepal where applicable, to allow permit processing.
19. Aerial Photography and Videography
- Passengers are allowed to take photographs and videos during the flight unless prohibited for safety reasons.
- Go Heli Services maintains the right to use any images or films taken during our excursions for promotional or marketing purposes, including brochures, social media postings, and commercials. This list is not exhaustive.
- We are respectful of the privacy of our customers. If you would rather not have your photographs or films used in this way, please let us know in advance, in writing, and we will comply with your request.
20. Liability
- As a facilitator of helicopter tours, Go Heli Services is committed to passenger safety.
- Customers understand that helicopter travel includes certain risks, particularly at high altitudes in mountainous regions of Nepal.
- Go Heli Services does not accept liability for loss, injury, or death that results from circumstances beyond its reasonable control, including weather conditions, force majeure events, or the failure of a passenger to comply with safety instructions or disclose relevant medical conditions.
21. Refund Processing
- If a flight is cancelled by the customer after advance payment, refunds will depend on the cancellation policy set out in these terms and conditions.
- If a flight is cancelled by Go Heli Services, refunds will be issued via the original payment method.
- Refunds are processed within a reasonable time frame, typically within 14 working days, and processing time may vary depending on the bank or payment provider.
22. Disputes and Resolution
- If our customers have any problems or arguments during or after using our services, they should bring them to the attention of Go Heli Services immediately.
- We believe in keeping lines of communication open with our customers and working with them. Our team is committed to getting to the bottom of any problem and finding a fair and friendly solution.
- Making sure customers are happy is our top goal, and we promise to deal with all complaints in an open, quick, and honest way.
23. Governing Law
These terms and conditions are governed by the laws of Nepal.
- Any disputes arising from bookings, cancellations, or services will be resolved through negotiation or, failing that, through the competent courts of Nepal.
